1. Who this policy covers
Link Beagle is operated by Flowy LLC, a Delaware limited liability company (“we,” “us,” or “our”). This policy explains how we handle personal information when you visit our website, request a preview, use our SEO tools or outreach platform, or communicate with us. It also covers information about people whose business contact details or correspondence are processed during a customer's outreach campaign.
We determine how account, website, and support information is used to run Link Beagle. For campaign data processed on a customer's instructions, that customer determines the purpose of the outreach and is responsible for its use of personal information. Depending on applicable law, these roles are commonly called a controller and a processor. A separate data processing agreement, if agreed with a customer, also applies to that processing.
2. Information we collect
- Account and preview information. Your email address, name, sign-in information, website or sitemap URL, and the business details and preferences you provide.
- Website and campaign information. Target pages, keywords, competitors, crawled page content, research results, SEO metrics, opportunity assessments, contacts, drafts, approvals, sending schedules, and campaign activity.
- Business contact information. Names, roles, email addresses, source URLs, and related professional information provided by customers or found on public websites and through research providers. Publicly available information may still be personal information.
- Mailbox and message information. Connection settings, encrypted credentials, sender details, recipients, message content, headers, timestamps, replies, delivery failures, and records used to stop further messages.
- Technical and usage information. IP addresses, browser and device information, page visits, interactions, cookie identifiers, application logs, and error diagnostics.
- Communications and purchase records. Messages you send to support and, when you purchase a paid service, the billing details and transaction records needed to manage that purchase.
Information comes from you, people acting for your organization, your use of the service, connected mailboxes, public web pages, and third-party research services. Please provide only information needed for the task and avoid including sensitive personal information.
3. How we use information
We use information to create accounts, prepare site previews, discover and assess opportunities, draft and send authorized outreach, match replies to campaigns, and help customers manage their conversations. We also use it to provide support, manage subscriptions, diagnose problems, understand feature usage, protect accounts, prevent abuse, and meet legal obligations.
Where a legal basis is required, we rely on performance of our agreement with you for requested services; our legitimate interests in maintaining, securing, and improving the product and responding to inquiries; compliance with legal obligations; and consent where required. You can withdraw consent without affecting processing that was lawful before withdrawal. Customer-directed outreach requires the customer's own lawful basis.
4. Connected mailboxes
When you connect a mailbox, Link Beagle stores the SMTP and IMAP settings and encrypted credentials you provide. It uses secure mail connections to send campaign messages and check incoming mail for replies and delivery notices. Inbox synchronization can retrieve messages that are unrelated to a campaign while determining which conversation they belong to. Connect a dedicated outreach mailbox rather than a personal inbox or an inbox containing sensitive correspondence.
Campaign messages and matched replies are stored so they can appear in your outreach history. Your email provider also handles these messages under its own policy. You can revoke the app password or credentials at your provider to prevent new authenticated connections. Revocation does not erase messages already sent or records already stored; contact us to request deletion.
5. AI and research providers
Link Beagle uses OpenRouter and the model providers it routes requests to for website analysis, opportunity assessment, and outreach drafting. Depending on the feature, requests can include website content, target URLs, campaign instructions, sender or contact details, and draft text. These providers process the information included in a request to generate a response.
Research and SEO providers, including Ahrefs when enabled, may receive domains, URLs, or search criteria needed to return relevant data. Crawling a website also sends a request to that site's operator. Do not put passwords, private customer records, or unnecessary personal information in website content or campaign instructions submitted for analysis.
Provider retention and data-use rules depend on the provider and service configuration. Contact us if you need details about the providers used for your account or specific processing restrictions before submitting confidential information.
8. Retention and security
We retain information for as long as needed to provide the service and for purposes such as account administration, resolving disputes, preventing repeat abuse or unwanted outreach, and meeting recordkeeping requirements. Retention depends on the type of data, account activity, and applicable obligations. Canceling a subscription or pausing a campaign does not automatically delete its history.
Contact us to request deletion of an account, campaign data, or a contact record. We may need to keep limited records to meet legal obligations or preserve an opt-out. Backup copies and records held by independent email recipients or providers may not be removed at the same time as active account records. We will explain applicable limitations when responding to your request.
We use safeguards such as access controls, encrypted mailbox credentials, and encrypted mail connections. No online service or storage system can guarantee complete security. Protect your account and tell us promptly if you believe it has been compromised.
9. International processing
Our service providers and the recipients you contact may process information in countries other than your own, including the United States. Those countries may have different privacy laws. Where applicable law requires safeguards for an international transfer, the transfer must be covered by an appropriate legal mechanism. Contact us for information about processing locations and safeguards relevant to your account.
10. Your choices and rights
Depending on your location and the law that applies, you may have rights to access, correct, delete, or obtain a portable copy of personal information; object to or restrict processing; withdraw consent; and opt out of a sale or sharing of information where those rights apply. You may also complain to your local privacy regulator. We will not discriminate against you for exercising applicable privacy rights.
Send requests to [email protected]. Tell us which account, website, or outreach message your request concerns. We may ask for information to verify your identity or an authorized agent's authority, and will respond within the period required by applicable law. Do not send passwords or identity documents unless we arrange a suitable verification method with you.
If you received outreach from a Link Beagle customer, you can reply to the sender to object or ask them to stop. You can also contact us with the sender address and message date so we can identify the relevant campaign and assist with your request. Where the customer controls the information, we may refer the request to them or help them respond.
You can ask us to stop promotional messages at any time. We may still send account, security, billing, and other necessary service communications.
11. Children
Link Beagle is a business service for adults aged 18 or older. We do not knowingly collect personal information from children. If you believe a child has provided information, contact us so we can investigate and take appropriate steps to remove it.
12. Updates and contact
We may update this policy as our practices change. The date at the top identifies the latest revision. For material changes, we will provide an appropriate notice through the service or by email and obtain consent where required.
